Privacy Policy

Football Session Manager (“we”, “us”, or “the Service”) helps people organise casual football sessions: teams, games, RSVPs, and related reminders. This Privacy Policy explains what personal data we collect, how we use it, and the choices you have.
This notice is written for users of www.footballsessionmanager.com. It is practical product documentation, not formal legal advice.
1. Who we are
Football Session Manager is an online tool for captains and players to schedule games, manage attendance, share invite links, track simple payment status (via captain payment links — we do not process game fees), optional WhatsApp Assist messaging (paid subscription via Stripe), and optionally sync workout data from Strava.

2. Data we collect
Depending on how you use the Service, we may process:
- Account data: email address, display name, optional phone number (including E.164 for WhatsApp), WhatsApp opt-in/out timestamps, and profile avatar URL.
- Authentication data: credentials managed by our auth provider (email/password and/or Google Sign-In session tokens). We do not store your Google password.
- Team and game data: teams you create or join, games, RSVPs, side assignments, invite codes, and payment self-ticks.
- Communications: reminder and game-change emails sent to the address on your account; WhatsApp messages if you opt in and a captain’s team has WhatsApp Assist enabled.
- Billing data: if a captain buys WhatsApp Assist, Stripe processes payment details. We store subscription status, tier, and Stripe customer/subscription IDs — not full card numbers.
- Optional Strava data: if you connect Strava, we store connection tokens server-side and may sync activity metrics related to a game (for example distance or duration) when you choose to sync.
- Technical data: standard hosting and security logs (such as IP address, browser type, and request metadata) generated by our hosting and infrastructure providers.
3. Google Sign-In
If you choose “Continue with Google”, we use Google Sign-In to create or access your account. Google may share with us your Google account email address and basic profile information (such as name and profile picture) that you allow through Google’s consent screen.
We use that information only to authenticate you and populate your Football Session Manager profile (name, email, and avatar when provided). We do not use Google account data for advertising.
Your use of Google Sign-In is also subject to Google’s terms and privacy policy. You can disconnect Google access for third-party apps from your Google Account settings at any time.
4. How we use data
We use personal data to:
- Provide and secure accounts, teams, games, and RSVPs.
- Send transactional emails (for example reminders and game updates).
- Show optional session-load / workout information when you sync Strava.
- Maintain, debug, and improve the Service.
- Respond to privacy or support requests you send us.
5. Where data is stored and who processes it
We use trusted service providers to run the product. They process data on our behalf according to their terms:
- Supabase — authentication and database hosting.
- Vercel — application hosting and delivery.
- Resend — transactional email delivery.
- Stripe — WhatsApp Assist subscription billing for captains who purchase the add-on.
- Meta (WhatsApp Cloud API) — delivery of WhatsApp messages when you opt in and a team uses WhatsApp Assist.
- Google — Sign-In when you choose Google SSO.
- Strava — only if you connect your Strava account.
We do not sell your personal data. We do not share it with third parties for their own marketing.
6. Retention
We keep account and team-related data while your account remains active and as needed to operate the Service. If you ask us to delete your account or personal data, we will delete or anonymise it where reasonably possible, except where we must retain information for security, fraud prevention, or legal obligations.
7. Your choices
- Update profile details in the app where available.
- Opt in or out of WhatsApp in your profile (or reply STOP on WhatsApp).
- Disconnect Strava from the app (or revoke access in Strava) if you no longer want workout sync.
- Revoke Google Sign-In access from your Google Account security settings.
- Contact us at support@footballsessionmanager.com to request access, correction, or deletion of personal data we hold about you.
8. Children
The Service is not directed at children under 13 (or the minimum age required in your country). If you believe a child has provided us personal data, contact us and we will take appropriate steps.
9. Changes
We may update this Privacy Policy from time to time. The “Last updated” date at the top will change when we do. Continued use of the Service after an update means you acknowledge the revised policy.
